The challenge: more than translation

Polish corporate publication localization often involves much more than translating text. In this project, Aploq prepared the Polish edition of a large corporate publication for a European industrial group. The source included company news, interviews, project stories, and technical content. So, our team had to keep the Polish version easy to read while also using the right specialist terms.

The latest issue contained about 20,000 German words. However, translation was only one part of the job. A second linguist also had to review the content. Then, our DTP team had to prepare the layout and check the final PDF. We had only seven days to complete the full process. In addition, the client needed one priority section three days before the main deadline.

As a result, we had to plan every stage from the start. The team managed two deadlines at the same time. At the same time, we needed to keep the language and layout stages closely connected. Each step affected the next one. Therefore, a clear workflow helped us keep the project moving and avoid unnecessary delays.

What we did: one publishing workflow

Aploq managed the project as one complete publishing process. First, the German content was translated into Polish in memoQ. Then, a second linguist reviewed the translation. Meanwhile, project management tracked the short schedule and separated the priority content so it could be delivered earlier.

After the language work was approved, the project moved directly into DTP. However, this stage was not simply about placing translated text into the layout. The publication also included special editorial instructions. For example, one German article in the file had originally been translated from Polish. Therefore, instead of translating it back into Polish, the team inserted the original Polish version. This required careful version control and a good understanding of the publication structure.

Finally, the finished PDF went through a detailed quality check. We reviewed language placement, article order, text flow, line breaks, page breaks, and possible truncation. Because all stages stayed connected, the team could react quickly when production instructions changed.

The complete 20,000-word publication moved through translation, revision, DTP, and final PDF QA within seven days. In addition, the priority section was delivered three days before the main deadline. The client received a Polish publication that was ready for the next production stage. There was no need to split the work between separate translation and DTP providers.

More importantly, this was not a one-time workflow. The project is ongoing. Therefore, Aploq has built a process that can support future editions as well. The team can manage short publishing schedules, staged deadlines, special DTP instructions, and final PDF checks within one coordinated process.

This approach also reduces unnecessary handoffs. As a result, language and layout stay connected until the final file. That matters in publication localization, where a good translation can still fail if the layout is wrong. In this case, the value came from managing both content and production together. The result was simple: 20,000 words, one complete workflow, and a print-ready Polish publication delivered in seven days.
